The Assistant Facilities Manager (AFM) for Soft Services holds comprehensive responsibility for the soft services operations of their assigned facility. This expansive role involves directing the planning and delivery of all facility-related and administrative support services, requiring the manager to take full "ownership" of the site to ensure daily monitoring and delivery align strictly with established Service Level Agreements (SLAs) and Statements of Work (SOWs). Operationally, the AFM manages overall housekeeping operations, routinely reviews these operations to implement necessary changes, and takes full facility rounds to identify, note, and close out snagging and de-snagging observations. Beyond general cleanliness and upkeep, day-to-day site management encompasses setting up daily events, managing meeting and training rooms, and overseeing the strict deployment, usage, and maintenance of housekeeping tools, machinery, and equipment.
A significant portion of the role centers on meticulous vendor management and asset protection. The AFM provides heavy oversight by tracking and monitoring vendor activities—including execution, purchase orders (POs), invoices, and final quantities—while ensuring all records are maintained and submitted with proper supporting documentation. They are also tasked with coordinating with Original Equipment Manufacturers (OEMs) for service obligations, managing system breakdowns, conducting formal monthly meetings with sub-contractors, and monitoring Annual Maintenance Contract (AMC) operations for plant services, pest control, and garbage outward management. To keep the facility running efficiently, the manager maintains strict stores and inventory management for housekeeping consumables, toiletries, and pantry items, while driving value-added services by identifying potential cost-savings opportunities during the review and approval of operating and capital budgets.
Administratively, the position demands a strong focus on compliance, risk management, and comprehensive reporting. The AFM must perform periodic inspections of the facility and equipment to determine if janitorial and pantry services are adequate, evaluate whether repair work is needed, and review safety and security equipment for adequacy. They are responsible for identifying risks or potential hazards, monitoring facility wear and tear, maintaining compliance with departmental security and audit procedures, and implementing Integrated Management Systems (IMS) processes. Furthermore, the role requires the individual to consolidate and review daily activity reports from team members, prepare daily, weekly, and monthly reports in the prescribed formats, and efficiently handle, report, and resolve any emergency scenarios at the site.
