The Senior Executive – Operations is responsible for ensuring seamless execution of international shipment operations by coordinating shipment processing, documentation, customs compliance, security checks, and timely handover to DHL. The role supports service excellence through proactive monitoring of operational timelines, maintaining operational MIS, and driving adherence to international operating standards and service quality requirements.
Job Purpose:
To execute international operations efficiently by ensuring timely shipment processing, documentation accuracy, customs compliance, security verification, operational reporting, and coordination with internal and external stakeholders, while supporting service quality and operational excellence.
Key Roles & Responsibilities:
International Shipment Operations
Monitor adherence to pickup timelines for both scheduled and on-call international shipments.
Ensure shipments are processed in accordance with defined Standard Operating Procedures (SOPs).
Coordinate timely movement of shipments from origin to DHL handover points.
Monitor shipment flow to ensure timely international flight connections.
Documentation & Customs Compliance
Verify completeness and accuracy of customer documentation required for customs clearance.
Capture shipment descriptions and customs-related information accurately in operational systems.
Report documentation discrepancies or compliance issues to the reporting manager.
Ensure shipments are handed over with complete documentation for customs processing.
Security & Shipment Verification
Conduct shipment scanning and mandatory security checks.
Verify shipment details and maintain shipment tally records.
Ensure compliance with all international shipment security requirements.
Intercept outbound shipments from unknown customers for physical verification before handover.
Service Performance & Operational Monitoring
Monitor adherence to delivery schedules across all service locations.
Track shipment exceptions and initiate timely escalation wherever required.
Monitor international flight connection schedules and report operational deviations.
Ensure all outbound shipments are processed within agreed cut-off timelines.
MIS & Reporting
Maintain accurate operational MIS and shipment records.
Prepare performance dashboards and reports aligned with DHL Global Standard KPIs.
Track operational exceptions and update status reports.
Maintain stock consumption and dispatch data in coordination with Regional Operations and BHI Stock teams.
Service Quality & Continuous Improvement
Support Regional Operations teams in monitoring KRAs and service quality initiatives.
Assist in conducting awareness and training sessions for pickup staff on documentation requirements.
Identify operational improvement opportunities and recommend corrective actions.
Ensure adherence to operational processes, compliance requirements, and performance standards.
Education:
Graduate in any discipline.
Diploma or certification in Logistics, Supply Chain Management, or Operations Management preferred.
Experience:
3–6 years of experience in logistics, courier, express distribution, or international operations.
Experience in customs documentation, shipment processing, or international logistics preferred.
Exposure to express logistics operations and shipment tracking systems is desirable.
