About the job
Key responsibilities
- Quotation & Order Processing: Provide accurate quotations to customers, including those fully handed over to you and routine customers assigned by management. Process sales orders promptly and generate pro forma invoices as required for. Customers handed over to you, customers assigned by management, sales team members assigned to you.
- Payment Monitoring & Follow-up: Monitor routine and overdue payments for customers under your responsibility (including handover and management-assigned customers). Send timely email reminders and follow-ups to ensure consistent cash flow.
- Customer Support: Efficiently handle and resolve customer issues and queries related to payments, products and services. Ensure prompt communication and resolution within a defined time frame.
- Sales & Dispatch Coordination: Coordinate between the sales and dispatch departments to ensure timely and accurate order fulfilment. Customers handed over to you Customers managed by your assigned sales team members Management-assigned customers.
- Order Verification: Verify that all sales orders are complete and accurate, including specifications and relevant documentation.
- Customer Profile Management: Create and maintain up-to-date customer profiles in the system. Ensure all necessary customer details and documents (as provided by the assigned sales team) are accurately recorded for smooth processing.
- Record Maintenance: Maintain accurate, up-to-date records of customer interactions, orders, and documentation in the company database. Support reporting and internal audits with well-organised records.
- Customer Engagement: Execute regular customer engagement activities to maintain and strengthen customer relationships.
- Sample Dispatch Coordination: Arrange and dispatch product samples (pigments, color pigments, TiO , etc.) to new customers based on instructions from management and the sales team. Collect and track feedback/status of dispatched samples from: Your handed-over customers. Assigned sales team members.
