Role Overview The Executive Assistant will act as a key support system to the CEO, ensuring that time, priorities, meetings, communication, and follow-ups are managed efficiently. This role requires someone who is discreet, detail-oriented, fast, structured, and able to coordinate with senior leadership, brand teams, operations, finance, HR, marketing, vendors, consultants, and external stakeholders. The person should be more than a calendar manager they should help drive discipline, follow-through, and accountability across the organisation.
Key Responsibilities
CEO Office Management
Manage the CEOs calendar, meetings, appointments, travel plans, and daily schedule. Prioritise meetings based on business importance and ensure the CEO is fully prepared with notes, documents, agendas, and follow-up points.
Meeting Coordination & Follow-ups
Organise internal and external meetings, prepare agendas, take minutes, track action points, and follow up with relevant teams to ensure deadlines are met.
Cross-Department Coordination
Coordinate with operations, marketing, finance, HR, projects, purchase, legal, and brand teams on behalf of the CEO. Ensure key tasks are tracked and escalated when required.
MIS & Reporting
Prepare and maintain business trackers, review notes, weekly updates, performance summaries, project status reports, and other MIS formats required by the CEO.

Project Tracking
Support the CEO in tracking important initiatives such as new outlet launches, brand revamps, marketing campaigns, recruitment, menu development, vendor coordination, expansion projects, and strategic assignments.
Travel & Logistics
Manage travel bookings, hotel reservations, itineraries, meeting schedules, restaurant visits, and guest coordination.
Confidential Work
Handle sensitive information related to company strategy, leadership decisions, financial matters, HR discussions, and business planning with complete confidentiality.
External Stakeholder Coordination
Coordinate with consultants, agencies, investors, landlords, architects, designers, chefs, vendors, PR agencies, and business partners as required.
Personal Productivity Support
Help the CEO stay organised by maintaining priority lists, reminders, pending trackers, document folders, call lists, and daily/weekly action plans.
Candidate Requirements Experience Minimum 3 to 7 years of experience as an Executive Assistant, Personal Assistant, Founders Office Associate, Business Coordinator, or similar role. Experience in hospitality, retail, FMCG, luxury, real estate, consulting, or family-run businesses will be preferred. Education Graduate degree required. MBA or hospitality/business background is an added advantage.
Skills Required
The candidate must have excellent communication skills, strong follow-up discipline, and the ability to work with senior management. They should be comfortable with Microsoft Excel, PowerPoint, Word, Google Workspace, calendar tools, and WhatsApp-based coordination. They should be able to write professional emails, prepare simple presentations, maintain trackers, and organise information clearly.

Compensation Compensation will be based on experience, capability, communication skills, and previous background.15 lakh per annum, depending on quality of candidate and experience.
