The ideal person for the job will be a proactive problem solver with exceptional communication skills, meticulous attention to detail who can execute deftly with a high level of professionalism and confidentiality. Prior experience in a similar role or work in a C-Suite office will be preferred. Responsibilities: Lend support to the Senior Leadership team as directed to ensure that company goals and objectives are accomplished and operations run efficiently. Work closely with the Senior Leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Manage communication between Management and employees and liaison with internal and external executives on various projects and tasks. Plans and orchestrate work in a manner that helps senior executives to ensure organizational priorities are met. Manage professional and personal scheduling of meetings/ appointments for Senior Leadership team, specifically managing agenda, email & calls. Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed. Assist with research, browsing & reading of documents, analysing information etc to enable the Senior Leadership team to be more productive. Manage content and the flow of information to senior executives. Evaluate and assist in developing office policies and procedures for improved work flow. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation. Manage, coordinate, and arrange senior executives’ travel including airline and hotel bookings, transportation, meal coordination, logistics for meetings, presentations and offsites. Replenish office materials such as snacks, printer & office supplies. Provide administrative and office support, such as creating documents, managing filing and contact database among others. Maintain professionalism, strict confidentiality and exercise discretion when interfacing with the Executive team and other parties. Record Minutes of meeting and circulate as required. Greet clients/visitors, assist them with any requirements and maintain cordial relationships. Manage petty cash reimbursements and reconciliation ### Qualifications Minimum graduate. 4-6 years of work experience with a C- Level Executive Excellent written and verbal communication skills Strong time-management skills and the ability to multi-task Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new Software and systems Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge Ability to keep company confidences. Ability to complete a high volume of task with little or no guidance.
