Job Description
As WD continues to strengthen its leadership in AI infrastructure, the Strategic Communications team plays an important role in connecting business priorities, leadership messages, employee engagement, and company narrative across the organization. The Communications Project Specialist helps bring order, visibility, and operational discipline to that work by supporting communications planning, project tracking, functional engagement, reporting, and team operations, while also providing targeted administrative support for core team needs.
Essential Duties & Responsibilities
Communications Planning & Operations
Integrated Communications Planning
- Maintain and manage the organization's integrated communications calendar, ensuring visibility and alignment across executive, employee, and corporate communications activities.
- Manage communication milestones, deadlines, launches, events, and leadership engagement opportunities to support successful execution of strategic communications initiatives.
- Identify scheduling conflicts and ensure communications activities are prioritized and sequenced appropriately.
- Support planning and project management across executive communications, employee communications, creative communications, and functional stakeholders for shared communications initiatives and campaigns.

- Track action items, deliverables, approvals, and deadlines across multiple projects and workstreams.
- Facilitate information flow and stakeholder alignment across the communications team, executive leaders, and partner organizations.
- Serve as a connective operational resource for the team, helping ensure work moves forward with clarity, accountability, and consistency
Functional Communications & Engagement Support
- Support the planning and execution of communications and engagement activities within executive-led functions, including functional town halls, leadership forums, and key communications moments within supported organizations.
- Manage planning logistics, attendee communications, meeting materials, and follow-up activities in partnership with communications leads and functional stakeholders.
- Administer post-event surveys, consolidate feedback and insights, and track follow-up actions to support continuous improvement.
Reporting & Analytics
- Maintain dashboards and trackers that provide visibility into communications activities, channel performance, audience engagement, and upcoming priorities.
- Collect, organize, and analyze communications metrics across channels and programs.
- Prepare recurring reports that measure communications effectiveness and inform planning decisions.
- Track team goals, milestones, and key performance indicators.
Project Management & Team Operations
- Support project planning, documentation, and status tracking for major communications initiatives.
- Manage team operating rhythms, including planning meetings, status updates, and key planning processes.
- Develop and maintain team processes, templates, trackers, dashboards and operational tools that improve visibility, accountability, and execution across the communications function.
- Maintain team knowledge resources, including SharePoint sites, content archives, templates, distribution lists, onboarding materials, and other shared resources to support team efficiency and continuity.
- Identify opportunities to apply AI and automation tools to communications workflows, helping the team operate more efficiently while improving visibility, coordination, and execution.
Administrative Support
Executive and Team Support
- Manage calendars for communications leadership, including scheduling meetings and resolving conflicts.
- Coordinate domestic and international travel arrangements.
- Process expense reports and reimbursement requests.
- Create and manage purchase orders, invoices, vendor payments, and budget tracking activities.
- Support meeting logistics, materials preparation, and other administrative tasks as needed.
Required:
- 3-5+ years of experience in project coordination, communications operations, executive administration, or event planning.
- Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
- Experience coordinating cross-functional initiatives and working with senior leaders.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft 365 tools, including Outlook, Teams, Excel, PowerPoint, and SharePoint.
- Curiosity and demonstrated ability to leverage AI-powered productivity tools to improve efficiency, organization, reporting, content development, and team operations.
- Strong attention to detail and ability to anticipate needs proactively.
- Experience tracking metrics, creating reports, and maintaining dashboards.

- Team reporting and metrics are accurate, timely, and actionable.
- Events and communications programs are delivered smoothly with strong attendee experiences.
- Communications leaders and functional communications partners can spend more time on strategy, messaging, and content development because coordination, tracking, logistics and reporting are handled consistently and proactively.
- The team operates with greater clarity, consistency, and alignment across priorities, stakeholders, and communications moments.

Compensation & Benefits Details
An employee’s pay position within the salary range may be based on several factors including but not limited to (1) relevant education; qualifications; certifications; and experience; (2) skills, ability, knowledge of the job; (3) performance, contribution and results; (4) geographic location; (5) shift; (6) internal and external equity; and (7) business and organizational needs.
The salary range is what we believe to be the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California, Colorado, New York or remote jobs that can be performed in California, Colorado and New York. This range may be modified in the future.
If your position is non-exempt, you are eligible for overtime pay pursuant to company policy and applicable laws. You may also be eligible for shift differential pay, depending on the shift to which you are assigned.
- You will be eligible to be considered for bonuses under either WD’s Short Term Incentive Plan (“STI Plan”) or the Sales Incentive Plan (“SIP”) which provides incentive awards based on Company and individual performance, depending on your role and your performance. You may be eligible to participate in our annual Long-Term Incentive (LTI) program, which consists of restricted stock units (RSUs) or cash equivalents, pursuant to the terms of the LTI plan.
